Dispatch Manager

To manage the dispatch team and its activity in order to ensure that clients and hauliers receive an excellent level of service and quality of product at all times.

Reports to: Production Manager

Responsibilities and duties for the role will include:

  • Managing and supporting the dispatch team with their daily duties:
    • Introducing quantitative measures/KPIs to benchmark individual performance
    • Setting development goals to consistently improve the overall team’s efficiency
  • Responsibility for all goods out of the factory in conjunction with the Logistics team
  • Resource planning, ensuring that the department is always staffed appropriately to support the smooth running of the business
  • Identifying and devising short, medium, and long-term strategies for the optimisation and expansion of dispatch activities, gaining stakeholder buy-in where needed
  • Ensuring that all goods dispatched from the factory are physically and correctly loaded with paperwork for both internal systems and external compliance
  • Ensuring that the physical dispatch of materials is accurately recorded accurately and efficiently in the company’s ERP system
  • Checking all outgoing goods against the expected delivery schedule for accuracy, and to report any errors or omissions
  • Checking the quantity of materials to be dispatched against relevant documentation (e.g. warehouse receipts)
  • Ensuring that orders are fulfilled within the loading time frames
  • Liaising with the Operations team if picking/quantity/destination errors occur
  • Optimising all carrier relationships, and following up queries with both hauliers and internal colleagues efficiently and professionally
  • Collaborating with other departments to ensure that all dispatch activity is in unison with the rest of the business
  • Managing and overseeing adherence to material quality processes to ensure that all items loaded are defect-free (and secured properly to eliminate potential damage during transportation)
  • Reporting any defects or discrepancies in a timely manner to the appropriate person or department, and working closely with the quality department subsequently to assess and prevent any future issues
  • Carrying out goods-out related training for new employees (where required)
  • Developing reports to analyse areas of service, performance, staffing and costs
  • Any other projects or ad-hoc reporting requested by the Production Manager

Key Attributes / Skills and Qualifications:

  • Experience managing a Production or Logistics team
  • Excellent understanding of the processes they are responsible for
  • Leading by example to gain the respect, cooperation, and support of colleagues
  • Excellent written and verbal communication skills
  • Working knowledge of Microsoft Word, Excel, and Outlook
  • Experience of ERP systems (preferably Microsoft Navision)
  • Willingness to learn and promote efficient working
  • A calm manner and the ability to work under pressure
