Production Team Assistant

To assist the Production team with administrative tasks related to the goods-in and goods-out functions of the factory, and to generate various associated reports.

Department: Production and Logistics

Reports to: Production Manager

Responsibilities and duties for the role will include:

  • Managing the work order label process to ensure that accurate and timely details are passed on to the factory through the ERP system
  • Ensuring that all completed work order documents, good received notes, time sheets, receipts etc. are returned to the office in a timely manner, and scanning and filing all documents efficiently
  • Purchasing PPE, tooling and other items for the factory when required
  • Downloading camera footage and photographs on a daily basis to ensure accurate dispatch records
  • Ensuring that all courier job paperwork is taken to Stores in a timely manner and updating records accordingly
  • Checking warehouse receipts against purchase orders and inputting the delivery note number into the ERP system
  • Producing reports for managers to review (e.g. factory downtime, changeovers, throughput)
  • Generating, updating, reviewing and implementing factory documentation to ensure HSEQ compliance
  • Where necessary, supporting the completion of non-compliance reports and document change controls
  • Ensuring adherence to the quality management system by reviewing and/or implementing relevant documentation
  • Inputting clocking card information from the factory
  • Assisting the Purchasing Manager with any additional tasks as required
  • Carrying out ad-hoc administrative duties on request, e.g. consolidating and scanning in appraisal paperwork, updating training records or coordinating meetings.

Key Attributes / Skills and Qualifications:

  • A strong proficiency in Microsoft Excel, Word and Outlook
  • Excellent interpersonal skills; able to proactively and effectively liaise with other departments
  • Strong organisation skills
  • Willing to learn the relevant sections of the warehousing, manufacturing, inventory and purchasing modules of the ERP system (NAV)
  • Able to carry out independent search queries in NAV, once trained, and to interpret the results
